New hires learn by shadowing

Someone good has to stop running parts to show them. What they learn depends on who they shadowed and what that person remembered to mention.

Knowledge retires with people

The setter with thirty years in leaves, and the reasons behind half the processes leave with him. Nothing about how he trained people was ever written down.

Re-certification lives in a binder

Sign-off sheets, a spreadsheet, and a calendar reminder. Nobody can say at a glance who is qualified for what, or who is overdue, until an auditor asks.

No separate system

The photos, the videos, the markup and the documents your team already uses to write Job Files and Stepped Processes are the same ones you use to write training. Nobody has to learn a second program, and the training looks like the work.

Each step shows its document right beside the instructions, a drawing, a procedure, or a CNC program, so the trainee sees the real thing, not a description of it. And one tap on the speaker reads the step aloud.

    • Step by step, each step with instructions, photos and video, using the same Visual Aid box as the Job File
    • Documents beside the instructions: PDFs, Word, Excel, CNC programs, or a link to SharePoint, OneDrive, Google Drive or Dropbox
    • Quick checks between steps, multiple choice with a pass mark, drawn from a shared question bank
    • Steps that need a supervisor’s sign-off, with a checklist
    • Start from a template: machine setup, safety and compliance, quality and inspection, tooling, or maintenance
    • A preview exactly as the trainee will see it, and drafts saved as you work

    Only an approved module goes out

    • Initial Release, then Pending approval, then Approved Release
    • Editing an approved module makes a new version, and the version shows on its chip
    • Approving a new version can re-assign it to everyone who took the last one
    • Writing training and approving it are separate permissions in Manage Roles

    The right module to the right people

    • Assign to roles, to named people, or both, with a due date
    • A repeat schedule for re-certification, yearly or whatever your procedure says
    • Learning paths give out several modules in order
    • See what a module is already assigned to, and remove it

    On the floor, at their own pace

    • My Training on the operator’s home screen: assigned, completed, and a view-only library
    • The player can read each step aloud in the PC’s Windows voice, highlighting every word
    • Quick checks are marked by the server, and must be passed before the module can be finished
    • A supervisor signs off a step with their own sign-in, and cannot be the person taking the module
    • Leave part-way and pick up where you left off

    The record, ready before anyone asks

    • A dashboard of approved releases, completion rate, overdue assignments and re-certifications due
    • Reports by module, role, status and date range, with an audit PDF export
    • Each completed module with its score, open to look back over
    • Records kept seven years by default. Nothing is deleted automatically

Writing a module

Pick a template, build the steps, drop in a quick check, then save it as an Initial Release or submit it for approval. Assigning and yearly re-certification sit right beside the steps.

Questions sit between the steps, with a pass mark. The server marks the answers, so the trainee’s PC never has them.

For the quality manager

Competence, on the record

ISO 9001 and AS9100 both ask a manufacturer to make sure people are competent for the work they do, and to keep evidence of it (clause 7.2 in both). That evidence is usually the hardest part of an audit to pull together.

shopGURU Training keeps it as you go: every completion, score and sign-off, by person, module and version, exportable as an audit PDF.

shopGURU supports these requirements. It is not a certification and does not replace your quality system.

How is Training licensed?

Training is an add-on to a shopGURU licence. When your licence includes it, Training appears in the menu, and two new permissions appear in Manage Roles: writing training and approving it.

Is it a separate program?

No. It is part of the same shopGURU client and server, on your own network, using the same sign-ins and roles.

How many people can take a module at once?

Each person’s run is their own. It has been tested with a thousand people taking the same module at the same time.

Can we share modules between sites?

Yes. Modules export and import as .shopguru-training packages, so a module written at one installation can be used at another.
